CMG is a mission-oriented landscape architecture studio working to increase social and ecological wellbeing through artful design. We are a passionate and creative collective of equal voices. Six principals with distinct aesthetics and interests lead our firm of over 30 designers with one common goal - to protect and improve our cities and communities every day. For 20 years, CMG has been making a positive impact on the landscape and our profession with passion, innovation, and leadership. We are located in San Francisco — the city that is, in many ways, the overarching project of our two decades of practice. We are currently developing a plan for a return to in-office work.

THE ROLE

You are a motivated and administrative professional with at least 3 years professional experience as an Executive Assistant or Office Administrator. This position will require in-office work a minimum of four days per week. Your will provide general support in the following key areas:

General Office

  • Open and close office daily and greet guests
  • Manage and order kitchen and office supplies
  • Order lunch for employees/clients/meetings
  • Manage CMG calendar(s) including reoccurring staff meetings, leadership meetings and scheduled leaves
  • Receive, manage and coordinate all mail and shipments
  • Manage travel and bookings for principals and project teams
  • Manage general office budget and review spending monthly
  • Manage and track office subscriptions, memberships and licenses
  • Coordinate and distribute employee announcements and communications
  • Be the first point of contact for employee questions regarding office operations and administration

Return to Office Coordination

  • A key part of the role in the near term will be assisting with coordination of return to office administrative and operational needs

Office Facilities

  • Manage CMG’s facilities including janitorial, maintenance, improvements and misc. office projects
  • Arrange for maintenance, repair, and purchase of office equipment, furniture and facilities, including: window cleaning and repair, furniture repair, construction, painting, doors and keys, plumbing, HVAC, security alarm, janitorial, large format printers and copiers

Account Management and IT Support

  • Manage accounts and user access including conferencing, supply orders, ZipCar, Lyft, postage meter, telephone, mobile phones
  • Accounting/Admin Email Accounts
  • General support for IT Coordinator including coordination of purchasing and software roll-outs

Human Resources and Accounting Support

  • Support Operations and Accounting Processes: employee benefits enrollment, payroll, employee on/off-boarding, administration of employee performance review process
  • Timesheet and PTO tracking
  • Review and coordinate employee time-off request approvals
  • Support employee professional development request review and budget tracking

Event Planning

  • Plan, Schedule and Coordinate all CMG Office Events including Annual Party, Weekly Happy Hour, Salons and other internal events
  • Guest List and invitations
  • Manage and coordinate event vendors
  • Setup before events and breakdown afterwards



WHAT WE EXPECT

Qualifications

  • Minimum of 3 years experience as Executive Assistant, Office Administrator, or equivalent
  • Strong verbal and written communication skills
  • Expertise with Microsoft Office Suite, proficiency with Excel
  • Ability to work in a collaborative team environment
  • Applicant needs to have initiative and be self-directed
  • Excellent interpersonal, organizational and communication skills


COMPENSATION

Salary Range: $60,000-$75,000
